銷售部 Sales

Sales Manger

Develops and executes annual sales plan for hotel, including the development of promotions, forecasting, and profit planning by item, market, customer, and period;

Manage to and maintain accurate and quality sales records and prepare sales and activity reports as required;

Drive regional sales force performance through leadership, vision, and motivation;

Work closely with management and marketing to analyse business trends, capture opportunities for growth and development of action plans to maximize sales;

Able to provide accurate budget forecasting in respect to sales quota on a regular basis for the team. Will be accountable for team goals and results to forecast;

Monitors and evaluates goals and budgets;

Develops a strong relationship with the major travel agency, partners and respective organizations;

Demonstrates a positive attitude about work issues, policies, and procedures.

Applies concepts of excellence in customer service and always conducts duties in a positive and friendly manner;

Retain customer base, ensuring a superior customer experience. Maintain and build customer relationship to drive customer retention, working with internal teams to ensure our operational efficiencies and service levels meet and exceed customer expectations;

Effective verbal and written communication capabilities;

Proven track record of sales leadership, including five or more years’ sales leadership experience;

Assistant Sales Manger

Assist in drawing up the marketing plan annually with the Sales Manager (including section on Corporate Accounts).

Keeps a record on former, existing, potential clients and a profile of each of them.

Organizes regular visits in accordance to a predetermined plan.

Prepares a tentative monthly schedule to record all sales and other related activities for the preceding month.

Presents a summary of his/her visits to the Sales Manager and Marketing on a weekly basis (Weekly Sales Plan) prior and after the week is completed.

Ensures that all new clients have no negative credit references.

Records all daily sales.

Records the statistics of his/her sales accounts.

Submits production reports on his/her list of accounts on a monthly basis.

Keeps himself/herself well informed about the operations especially in key departments (Front Office, Housekeeping, F&B and Banqueting etc.).

Closely observes matters pertaining to competition (sites, prices, services offered on a regular basis - quarterly or more often if need be).

Promotes the hotel as often as possible through entertaining, conducting, site inspections and presentations etc. of the hotel.

Sales Coordinator

Supporting the sales team in attaining sales targets

Handle all daily communication internally and externally

Communicate effectively with sales manager and clients to maintain existing relationships while helping to create and build new client relationships

Providing sales and administrative support through various office duties such as answering the phone, making calls to vendors, managing calendars, scheduling site visits, etc.

Retain a knowledge of venues, restaurants, tours, etc. to provide accurate assessment of particular needs for a client

Follow up orders and payments

Provide sales and after sales services to clients

Maintain good relationships with customers

Manage client expectation on delivery of miscellaneous quotations & communication

Reservation Agent (Full time / Part-time)

Consistently offer professional, friendly and engaging service

Answer telephone and email inquiries in a timely manner

Coordinating group reservations activity

Determine Guest’s needs and quote the appropriate room and rate as per requirements

Follows up tentative bookings and update reservation status

Maintaining the in-house reservations systems

Review reservation booked daily

前堂部 Front Office

Duty Manager

To consistently offer professional, friendly and engaging service

To assist guests regarding hotel facilities in an informative and helpful way

To ensure proper staffing and scheduling of all Front Office

Recreation Manager

Oversee daily recreation operations and maintain schedule, planning and coordinating events, programs, and activities.

Prepares recreation activity schedules and participates in the planning and development of holiday and special event programs

Evaluates changes in guest needs, the hotel’s guest mix, and industry and competitive trends to recommend appropriate product/service and operational changes to be made to ensure guest and employee satisfaction

Ensures that all recreation programs are executed in accordance with all hotel and safety guidelines

Oversee facility maintenance, cleanliness, equipment, and inventory supplies, ordering supplies and coordinating equipment repair

Prepares annual departmental budget and manages departmental costs, updating budget if operational forecasts change significantly

Evaluates employee performance, determining improvement and training needs and advancement requirements

Good command in spoken English and Chinese

Part-time Recreation Attendant

Greet guests and provides information and policies of Gymnasium Room

Must be well-mannered, display a helpful attitude show willingness to help guests and employees at all times

Perform daily safety and cleanliness checks on all recreational equipment

Collect and replenish pool towels and monitor inventory to minimize loss

Monitor use of the facility and address and/or report potential hazards

Respond to guest inquiries and service issues in a timely, friendly and efficient manner

Perform general Recreation duties, as needed

Good command in spoken English and Chinese

Part-time lifeguard

Identify potential accident hazards.

Be alert or prevent accidents (risk management).

Enforce all pool rules in a consistent manner.

Handle discipline situations with courtesy and fairness.

Respond quickly, intelligently, decisively and in accordance with established emergency and accident management procedures.

Administer first aid and CPR as required.

財務部 Finance

Account Payable

To collect and review all documents necessary for the preparation of the payment run (purchase request, purchase order, receiving record, invoice, etc.)

Ensure the mathematical accuracy, legitimacy and completeness of the transaction before filing them by Supplier name, awaiting payment.

To prepare Payable Vouchers and initiate the payment process in a timely manner.

To perform all Accounts Payable sub-ledger postings and to verify that Accounts Payable sub-ledger and General Ledger balances agree.

To maintain the filing system for creditors’ and ensure that on-hand outstanding invoices match with A/P ageing report as per the system.

To perform monthly reconciliations between A/P sub ledger accounts and supplier statements.

To print a system generated payment summary and ensure the prompt payment of all invoices selected.

Stamping all documents “paid” once the payment approval process is completed, to prevent the risk of double payment in the future.

To properly monitor the issuance of cheques and the safeguard of any unused cheques.

Cost Controller

To verify that officer checks (duty meals), F&B entertainment checks are processed according to the procedure and to prepare a daily entertainment report.

To cost all recipes, inter-kitchen transfers and any food and beverage consumed by the hotel employees (staff meals).

To define minimum and maximum stock levels, par stock management systems and to ensure the compliance with the relevant departments.

To ensure all goods received and delivered in and out of the hotel stores are properly documented and accounted for.

To perform daily and monthly Food and Beverage reconciliations, using POS-generated sales analysis reports and ensuring that all discrepancies are explained.

To perform the physical count of all storeroom stocks and month-end inventory, with final balances to be reconciled with the general ledger month-end balance.

To report the daily and monthly F&B costs with emphasis and detailed analysis on exceptional variances such as trend of cost of sales ratios, slow moving items, breakage & loss, etc.
